Operations Manager (Temporary)

Position Description

YLabs is seeking an Operations Manager to support effective operations and human resources at a growing design and health non-profit. They’ll be working with a vibrant, diverse, and multi-disciplinary team that combines expertise in health, data, technology, and design. The ideal candidate enjoys working both collaboratively and individually, can comfortably manage multiple workstreams, and thrives in a dynamic, creative environment with lots of opportunities to learn and develop new skills. The Operations Manager will work with the operations and finance team and the Executive Director to develop robust operational systems and processes and ensure a happy, healthy team. This is a six-month temporary role providing maternity leave cover from October 2019 - May 2010, with the potential to move into a full-time role.

You will:

  • Drive regular meetings with the operations and finance team(s) to ensure key initiatives are on track, and initiate new approaches and ideas to ensure effective running and growth of the organization

  • Collaborate with cross-functional teams to structure and manage internal projects

  • Support the leadership team on key strategic projects and manage and track progress, including the implementation of organizational risk mitigation strategies

  • Determine staffing plans and oversee the recruitment, hiring, onboarding, and training of YLabs staff

  • Develop and manage the annual operations budget in partnership with the finance team

  • Prepare employee records and personnel policies; oversight of professional review, staff performance and foster effective teamwork

  • Develop, refine, and implement new policies and processes that pertain to human resources and operations

  • Support the development of contracts for contractors, funders, and partners

  • Support with the management of board relations and meetings

  • Work with the wider team to support the communications team and leadership with fundraising activities, including event management, social media communications, and external relations as needed

  • Work with operations and finance teams to foster a well-managed, functioning, and creative work environment that supports great design

You have:

  • Bachelor's degree or similar experience

  • At least 4-5 years experience in operations / human resources / project management or similar, though we will consider those with less experience and the right skills

  • Proficiency in the use of project management tools, MS Office, G Suite, KeyNote or similar

  • Strong critical thinking and problem-solving skills

  • Excellent organizational and multitasking capabilities

  • Excellent written and oral communication

  • The ability and track record to see projects through to completion

Bonus point if you have:

  • Experience working in a non-profit;

  • Previous experience working on health, education or employment programs;

  • Professional fluency in a second language;

  • Experience working internationally
